Understanding Email Template Placeholders

Email template placeholders allow you to dynamically insert relevant information into your customized supplier task assignment emails. This ensures each email is personalized and contains up-to-date details without manual editing.

Step 1: Identify Available Placeholders

The following placeholders can be used in both the email subject and body templates:

  • {{org_name}}: Represents the 'Organisation name (shown to suppliers)' that you configure. This will be the name specified Organisation name (shown to suppliers) field in the form.

  • {{org_email}}: This is the email specified in the Support contact email field in the form.

  • {{questionnaire_name}}: The name of the specific custom survey being assigned.

  • {{due_date}}: The due date for the assigned survey task.

  • {{view_task_label}}: The text used for the link to view the survey task (e.g., 'View Survey Task').

Step 2: Insert Placeholders into Your Template

When customizing the 'Email subject template' or 'Email body template', simply type the placeholder exactly as shown above, including the double curly braces {{ }}. For example, to include the questionnaire name in the subject, you might write: New Survey: {{questionnaire_name}} - Action Required.

Step 3: Previewing Placeholder Behavior

The system automatically replaces these placeholders with the correct data when an email is sent to a supplier. Ensure that your sentences flow correctly with the dynamic content that will be inserted. No explicit preview function is shown, but understanding how they render is key.

Step 4: What Happens if a Placeholder Value is Missing?

In cases where data for a specific placeholder might be unavailable (e.g., if a {{due_date}} isn't set for some reason), the system is designed to handle this gracefully. Typically, the placeholder would be left blank. Always test your email templates with a small group of suppliers or a test supplier if possible to ensure everything renders as expected.
