Troubleshooting Supplier Email Customization

Encountering issues while customizing or sending supplier emails? This guide will help you debug common problems.

Step 1: Email Customization Modal Not Appearing

If you click the 'Supplier email' button and the modal does not appear:

  • Check your permissions: Ensure you have the 'Administrator', 'Environmental Expert' or 'Carbon Manager' role to access this feature. Contact your administrator if unsure.

  • Browser issues: Try clearing your browser cache and cookies, or try using a different web browser. Sometimes browser extensions can interfere.

  • System status: Check if there are any ongoing system outages or maintenance. You can typically find this information on a system status page or by contacting support.

Step 2: Settings Not Saving

If you've entered your customizations and clicked 'Save', but the changes aren't persistent:

  • Required fields: Ensure all mandatory fields (if any) are filled out. Although the prototype shows optional fields for subject/body, organization name and support email might be required.

  • Input validation: Check for any error messages related to invalid input, especially for the 'Support contact email' field, which requires a valid email format.

  • Network connection: Verify your internet connection is stable. A temporary disconnection could prevent saving.

  • Server errors: If problems persist, it might be a server-side issue. Report the problem to support with details of the exact steps you took.

Step 3: Placeholders Not Rendering Correctly in Sent Emails

If {{placeholders}} are appearing as text instead of dynamic values in sent emails:

  • Exact syntax: Ensure you have typed the placeholder exactly as specified, including the double curly braces and no extra spaces (e.g., {{org_name}} not {{ org_name }}).

  • Data availability: Verify that the data associated with the placeholder exists for the specific survey and supplier. For example, if a {{due_date}} is missing for a survey, it may not populate.

  • Test with specific data: Try sending a test survey to yourself with all relevant data (organization name, due date, questionnaire name) fully populated to see if they render correctly.

Step 4: Default Template Being Used Despite Customization

If your custom subject or body isn't being applied and the default is used:

  • Blank fields: Recall that if you leave the 'Email subject template' or 'Email body template' fields blank, the system will use the default content. Make sure you have text in these fields if you intend to customize them.

  • Confirmation: After clicking 'Save', did you receive any confirmation of a successful save? If not, refer to 'Settings Not Saving' above.
